Welcome to SchoolPilot Pro. By accessing our marketing website or using our school management software, you agree to be bound by these Terms of Service. Please read them carefully before subscribing or installing the software.

1. Software Licensing and Usage Rights

SchoolPilot Pro is licensed, not sold. Depending on your purchase agreement (Desktop, LAN, or Cloud), you are granted a restricted, non-exclusive, non-transferable license to use the software solely for the internal administrative operations of your specific educational institution.

  • Restrictions: You may not reverse-engineer, decompile, or attempt to extract the source code. You may not distribute, sub-license, or resell the software.
  • Multi-Branch Use: Separate campus branches require distinct licensing unless explicitly covered under an Enterprise Campus agreement.

2. Client Responsibilities

As the user of SchoolPilot Pro, you agree to the following responsibilities:

  • Account Security: You are responsible for maintaining the confidentiality of your administrative credentials and assigning appropriate roles to your staff.
  • Data Accuracy: You are responsible for the accuracy and legality of the data entered into the system.
  • On-Premise Hardware: For Desktop and LAN versions, you are responsible for maintaining the local hardware and executing regular local backups.

3. Digital Fee Collection Integrations

SchoolPilot Pro offers API integrations with 1LINK, 1BILL, Kuickpay, and other banking channels. The availability of these features is contingent upon:

  • Successful legal onboarding and document vetting by the third-party financial service provider.
  • Approval of your institutional bank accounts to receive digital payments.

Disclaimer: SchoolPilot Pro provides the API bridge exclusively. We are not a financial institution, bank, or payment processor. We are not liable for transaction delays, network failures, chargebacks, or disputes between parents and the third-party banking networks.

4. Uptime, Support, and Maintenance

For our Cloud deployments, we strive for 99.9% uptime. However, services may be temporarily unavailable due to scheduled maintenance or unforeseen infrastructure outages. Technical support is provided as defined in your active Service Level Agreement (SLA). Local deployments may require remote access via secure tools (e.g., AnyDesk) for troubleshooting.

5. Data Ownership and Export

The educational institution unequivocally retains full ownership of all its proprietary data. Upon termination of a cloud subscription, schools have the right to request a full database export within 30 days of termination. Following this period, data may be permanently purged from our active systems.

6. Limitation of Liability

To the maximum extent permitted by applicable law, SchoolPilot Pro and its developers shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including data loss, hardware failure, reputation damage, or financial discrepancy arising from the use or inability to use the software. Our total liability in any matter connected to the software shall not exceed the subscription fees paid by you in the 12 months preceding the claim.

7. Governing Law and Amendments

We reserve the right to modify these Terms of Service at any time. Continued use of the software following such changes constitutes acceptance of the new terms. These terms are governed by and construed in accordance with the standard international software distribution laws.
